How to Keep Things Clear When Your Team’s All Over the Place

Basically, emails are fine until they’re not. One or two? Great. But once the inbox starts piling up with messages that say things like “just checking in” or “per my last email,” it gets messy and annoying fast. It’s hard for anyone to focus on their business or their work in general when they’re constantly being bombarded. And for anyone working remotely or constantly on the move, it’s even harder to keep up.
They’re not always sat at a desk, and half the time they’re trying to read updates on their phone between everything else going on. Alright, so the problem isn’t that people don’t want to be in the loop. It’s that the way info gets shared doesn’t always make sense for how they work.
Email just isn’t cutting it anymore
Really, there’s nothing worse than trying to find one update in a sea of threads, forwards, and side chats. People end up wasting time scrolling through messages, or worse, missing something important because it was buried under a dozen replies about lunch. And if someone’s out of the office or working in the field? Well, forget it. Basically, by the time they get back to their laptop, they’ve missed half the conversation.
Okay, so the thing is, staying updated shouldn’t be that difficult. No one wants to dig through emails just to find out what’s going on. Most people just want quick updates in a way that fits into their day, not something that adds more chaos to it.
Make it easy to stay in the loop
Well, here’s something else you really need to keep in mind so if you want people to actually read something, it needs to be easy to get to. That’s it. Bluntly put it, no complicated systems, no five different logins, just one spot where they can check in, see what’s new, and carry on with their day.
But considering something like an employee app is a solid fix for that. Okay, but how? Well, it gives people a way to see updates, messages, and important stuff straight from their phone, without needing to stop what they’re doing or open their laptop.
Now, something like this would be perfect for the ones who are in meetings all day, travelling, or working jobs that don’t come with a desk. In some jobs, you’re literally on the go all the time, and you can’t expect them to be so easily in the loop.
Keep it short, clear, and a little more human
Seriously, no one wants another long-winded message full of buzzwords. There’s absolutely no one out there who even likes those! Most people just want someone to say what’s happening, what they need to know, and what’s next. That’s it. If you can keep your updates short and clear, people will actually read them.
And if the tone feels more human than robotic, even better. The easier it is to understand, the more likely people are to stay connected.
Don’t forget the people who aren’t at a desk
It’s easy to assume everyone’s got the same setup. But a lot of people don’t sit at a computer all day. There are just some staff who are too busy, moving around, often working odd hours, and usually nowhere near a laptop. So if all the updates are stuck in email threads or shared during video meetings, they miss out. And that’s when things start to break down. So you can’t just assume they’ll always be in the know.
